Reports To: Finance Manager Office Manager CEO *Description: Full-time Position* _The role of the Finance Assistant is to aid the Finance Manager in reaching the monetary goals of the practice.
The primary task of the Office Administrator is to improve and maintain organization and efficiency in the Finance Department.
_ · Maintain confidentiality of patient’s information as well as office finances.
· Once daily, file all EOB’s, A/P receipts, deposit slips, and statements.
· Once daily, attempt to match all packing slips delivered by Shipping/Receiving with correct vendor invoice.
· At least once weekly, spend 1-2 hours on file re-organization per direction of the Finance Manager.
· Once weekly, enter all vendor invoices matched with packing slips into Quickbooks Vendor Bills.
Consult Finance Manager for vendor portal open invoice report.
· Once monthly, perform line by line reconciliation of all vendor accounts between QuickBooks Balance Details and online vendor portal report provided by Finance Manager.
· Once monthly, create file folders for new month for all required documents.
· Once monthly, reconcile credit card statements in Quickbooks.
· Work with vendors to maintain updated contact information and pay schedules.
* Answering patient or insurance telephone or written inquiries pertaining to assigned accounts.
· Data entry of insurance information to CE.
Updating patients’ accounts due to payment or contact changes.
· Maintain thorough notes in Counsel Ear regarding interactions with both payors and the insured.
· Verification of required documentation to submit claims, including referrals and pre-authorization, communicating with Front Office Lead and Office Manager when necessary.
· Manage all aspects of insurance records requests; from scanning/tasking to preparation of documentation for claims team.
· Secure revenue by verifying and posting receipts and resolving account discrepancies.
· Work on special projects, as assigned by Finance Manager, based on completion of daily/weekly/monthly tasks as time/experience allows · Work on additional tasks as assigned by Finance Manager, deemed priority based on immediate needs of the department/practice.
Job Type: Full-time Pay: $21.
