Description:
The Office Specialist reports to the Site Manager and supports Horizon’s programs by completing a variety of tasks required to ensure the efficient operations of the administrative office and service programs.
The Office Specialist will be cross-trained to a variety of tasks and will be asked to complete these as needed to ensure that program needs are being met.
Wage Range: $16.
25 - $22.
25 per hour, starting wage depending on experience
Schedule: Monday-Friday, 8AM-4PM

Demonstrate excellent interpersonal and customer service skills
Answer phones and direct calls, taking messages when appropriate.
Distribute mail daily, receive faxed information, and deliver to the proper recipient in a timely manner.
Accept walk-in applications and forward information to Human Resources (HR)
Schedules interviews according to the Coordinator's availability
Submits completed reference checks to HR.
Purge files annually according to retention guidelines
Upload ISP Documents to Therap
Therap data entry for PBSP, Nursing, and Client Specific Plans
Maintain client Redbook ensuring all documents are included and up to date annually.
Manage calendars for training, interviews, and meetings
Manage gas cards for staff.
Check-in medications and file documentation appropriately
Document checks written and deposits on google drive register for each client
Track supply inventory needs for programs and communicate appropriately, assisting with shortages when needed
Schedule appointments for clients and process doctor appointments for clients and file paperwork appropriately
Post an evacuation plan, understand how alarm system functions, and update information as needed.
Monitor program food stamp accounts, grocery accounts, ledgers, receipts, and manage cards.
Keeps front office area neat and orderly.
Adheres to confidentiality standards.

Requirements:
Must have a High School diploma or equivalent, with a minimum of two years of customer service or office assistant experience, or a combination of both.
Must be proficient in working with Microsoft products such as Outlook, Word and Excel.
Must pass a pre-employment drug test, Oregon State Criminal Background Check, and driving records check.
Must have a valid Driver's License that is insurable by HPI's auto insurance provider.
Work Schedule
The normal work schedule is Monday – Friday, from 8:00 am to 4:00 pm.
It is the attendance standard of the employer that all employees are present and on time for each shift that they are scheduled to work.
Leave may be approved if allowed by applicable policies covering illness, injury, or other personal emergency.
Physical Demands
Some lifting, up to 40lbs.

Work Environment
This is primarily an office job; however, it will involve interaction with intellectually and/or developmentally disabled individuals which can result in physical contact and/or verbal exchanges.
Other Requirements
All positions with Horizon Project, Inc.
require that the employee have and maintain a valid driver's license; be insurable by Horizon’s auto insurance carrier; and, meet and maintain driver eligibility standards as outlined in Horizon Project’s Employee Handbook.
Employees are required to attend staff meetings and any other training as assigned.
Within 90 days of hire, the employee must obtain certification in CPR and First Aid training and maintain ongoing certification thereafter.
Completion of organized in-service training provided by employer as well as on-the-job training as assigned.
