Edgewater Technical Associates is seeking qualified candidates for an Administrative Support Specialist opportunity in Richland, WA to support Hanford Mission Integration Solutions (HMIS) in support of the Hanford Mission Essential Services Contract (HMESC).
Job Scope: Administrative Support Specialist for HMIS The successful candidate must be able to: Develop and maintain positive working relationships with peers, staff, and customers with the ability to communicate effectively.
Work well under pressure, perform efficiently on short turnaround assignments, and continually reprioritize tasks to meet aggressive turnaround times.
Determine priorities and ensure commitments are completed in a timely manner.
Responsible for maintaining records to ensure document compliance, including records related to the qualifications and training of personnel, configuration control and maintenance of approved plans and procedures, records of program audits, assessments, and surveillances.
Specific technical job duties performed by the Administrative Assistant include: eDOCS is correspondence, maintain documentation regarding all aspects of the programs' responsibilities through eDOCS & Integrated Document Management System (IDMS).
Initiate tasks in eDOCS, create draft letters, proofread SME contributions, edit, format, and track progress thru approvals.
Records (RIDS) coordinator for Environmental Program: Records Inventory and Disposition Schedule (RIDS) – Records Management Access Portal (RMAP) Perform general administrative duties that may include handling confidential matters, maintaining personnel records, preparing expense vouchers, make appropriate travel arrangements, and coordinate meetings, order materials using Electronic Bill of Material (eBOM) and Supply Ordering System (SOS).
Develop meeting agendas for HMIS and DOE mtgs.
Facilitate meeting agenda items.
Track and inventory equipment within Sunflower and complete required validation Track vehicle use and mileage Track utility payments and submit requests for payment Review, edit, and prepare weekly reports for management review Compile monthly report including proofreading for content, grammar, and formatting.
Retrieve staff training files, submit to management, and notify staff of upcoming trainings.
Typical duties and responsibilities include: Perform all work safely and in compliance with environmental obligations using the core functions and core elements of the Integrated Safety Management System/Environmental Management System (ISMS/EMS).
Maintain a safe and well-kept work environment.
Continually improve our environmental performance and the performance of our EMS, while emphasizing pollution prevention and efficient use of resources.
Research and abstract information and supporting data in preparation for meetings, work projects, reports, and speeches.
Arranges business itineraries and coordinates for travel for the program.
Takes action authorized during manager's absence and uses initiative and judgment to see that matters requiring attention are referred to the delegated authority or handled in a manner so as to minimize the effect of the manager's absence.
Administer and maintain highly confidential and specialized information, and has an in-depth understanding of organizational policies, procedures, and operations.
Schedules appointments and coordinates the department's or manager's interface with other company organizations, clients, and external groups.
Establishes and maintains department and/or project files.
Perform miscellaneous duties that may include maintaining specialized libraries, using computer terminal and doing background research for reports.
Answer telephone; takes messages in the absence of the manager, refers callers to the designated person, or provides assistance as needed.
Order and maintain supplies for department or project.
Operate various office machines used in department such as convenience copiers, scanners, and facsimile machines.
Operate standard office equipment such as personal computers, calculators, sealer, mailer, shredder, etc.
Proficient use of site standard computer software.
Understands and complies with the expectations in the job-specific performance goals.
Basic Qualifications High School diploma or equivalent with a minimum of 8 years of relevant experience with progressively responsible administrative related experience.
User knowledge of Microsoft Office software (notably Outlook, Word, Excel.
).
Must be capable of working independently and performing routine tasks with only minimal guidance and supervision.
The position requires strong organizational skills, as well as effective skills in written and verbal communications, and strong interpersonal skills to maintain cooperative working relationships with clients and staff.
Desired Qualifications Knowledge and experience eDOCS, eBOM, SOS, Sunflower, IDMS, SharePoint Post-secondary education is preferred.
Experience at the Hanford site, and particularly knowledge of and familiarity with Environmental and Regulatory programs and terminology is highly desirable.
