SUMMARY:
The Assistant Manager assists the Managers in ensuring that all functional areas required to operate the facility are covered at all times.
In the Manager’s absence, the Assistant Managers primary duty consists of the management and smooth operation of the facility.
The Assistant manager will be expected to work every Wednesday through Saturday.
During this period, the Assistant Manager shall be in the facility to respond to emergencies or situations.
The Assistant Manager may be required to work additional hours at the Manager’s request.
Other: Willing to work shifts assigned, weekends, and holidays.
Ability to work independently; possess skills in staff supervision, problem solving, conflict management and budgeting.
JOB QUALIFICATIONS AND CHARACTERISTICS NEEDED FOR THIS POSITION * Has a good rapport with elderly people, understanding their limitations and has a desire to please and satisfy.
Enjoys people.
* Exhibits good grooming and personal hygiene habits.
Dresses appropriate for a professional position that is continuously in the public eye.
* Is healthy.
Is on time for shifts and has a good attendance record.
* Must possess a current WA State Food Handler’s Card within two weeks, per WA state law.
* Must possess a valid WA State Driver’s License.
* Must be a HS Graduate or equivalent.
DUTIES AND RESPONSIBILITIES: * Ensure the smooth operation of the community including provision of services to residents.
* Be in the office during normal business hours, as well as Saturday and Sunday, 8:00 am to 5:00 pm.
* Remain on site 24 hours during scheduled workdays; respond after-hours to any emergency calls from residents or community.
* To promote and maintain positive relations with residents and their families.
* To participate in the recruiting, interviewing, (recommended) hiring, evaluation and supervision of qualified facility staff and to direct these employees to ensure the provision of appropriate quality services to residents, operating within the facilities personnel and salary policies, and evaluate the person to the job to keep staff turnover at a minimum.
* To make recommendations to Quail Run Retirement Community Managers regarding discipline and retention of employees.
* To terminate employment of any employee who demonstrates flagrant inappropriate conduct as defined under Quail Run Retirement Community’s Employee Handbook, Page 14, Section V, “General Principles of Conduct”.
* Lead, coordinate and conduct resident activities including driving.
* Along with the management team, assist and develop special events for the community and the residents.
* To ensure proper procedures and handling of Quail Run Retirement Community policies.
* Assist the manager with arranging programs or activities in the facility by at least one outside entertainment per month.
This may include arranging for resident parties.
* Perform marketing activities including public relation efforts, prospective resident generation, prospective resident follow-up, direct sales, and sales monitoring to ensure the complete fill up of the community.
Strive to achieve a 100% occupied community.
Under the direction of management, complete and maintain an active inquiry lead card system.
* Assist in details and coordination of move-in with prospective residents when appropriate.
* Actively promote participation in all social activities by all residents.
* To provide an accurate and appealing tour of facility in managers absence or when otherwise deemed necessary.
* Assist in decorating dining room, lobby, and resident bulletin board using seasonal themes at various holidays.
* Assist kitchen in serving of beverages at all meals while on duty.
* Assist management in producing monthly facility newsletter and calendar.
* Produce and provide daily menus to kitchen on a weekly basis.
* Complete misc.
office tasks as assigned, i.
e.
: phones, PC, fax, filing and receptionist duties.
Update traffic report for the weekend traffic.
Maintain a daily log of misc.
information regarding facility and residents.
Attend a pass down meeting at beginning and ending of full shift with management in order to transfer all immediate necessary facts and information of events occurring that week.
Update resident files as needed.
Prepare payroll documentation and fax as directed.
* Perform any additional job duties set by management while completing all assigned duties which may change from time to time according to resident needs, staff levels, working circumstances, and management directives.
UNIVERSAL PRECAUTIONS: * Exposure to blood/bodily fluids possible but not routine PHYSICAL REQUIREMENTS * Most of the working shift is standing, stooping, bending, lifting, and walking.
* Must be able to lift at least 40 lbs.
OTHER REQUIREMENTS: * Must be able to read, write, and understand English.
