DSHS ESA Office Manager

We're hiring an Office Manager to work for the Kennewick DCS office.
You'll provide facility management and support to the District Manager (DM), enabling the success of other managers, supervisors, and staff for the Kennewick DCS office.
In addition, you'll perform records management (i.
e.
time and attendance reports, organizational charts, and other records), purchasing, travel coordinator duties, security system monitoring, and other duties as assigned.
Some of what you'll do: • Coordinating office operations • Providing a connection between the Manager and other DCS office staff.
• Relaying assignments and requesting status on tasks • Serve as the Administrative Assistant to the DCS Kennewick Office Appointing Authority to establish procedures and interpret and apply administrative policies to the work of the field office for multiple counties and tribes • Serves as Travel card custodian and makes travel arrangements for staff • Prioritizes and distributes mail • Screens calls and visitors; transcribes meeting minutes • Daily local management/monitoring of building operations for the Yakima DCS and the Kennewick DCS office, including maintenance/repair and janitorial for D CS staff • Prepares confidential documents involving personnel actions with DM and Human Resources • Prepares time and attendance records for both offices • Monitors courier services against contract requirements • Development and management of the administrative budget • Provide oversight and direction for inventory, ordering, purchasing, and receiving of supplies; prepares forms for surplus items • Serve as designated Records Custodian • Coordinates with staff and vendors (maintenance mechanics, electricians, plumbers, etc.
) for required facilities work; prepares forms and electronic work orders for completion of work • Maintains current building floor plans and organization charts; manages security badge system What we are looking for: • Ability to plan, organize, and supervise central office service units • Ability to achieve results in a fast-paced and rapidly changing environment • Ability to troubleshoot problems and creatively find solutions • Extensive experience with office organization, methods, and management principles in both large and multiple locations Who should apply? Professionals with A Bachelor's degree involving major study in business administration or closely allied field and one year of supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office.
Or One year of experience in State service as an Administrative Assistant 2, Human Resource Assistant 2 or Data Compiler 3 or two years in State service as an Administrative Assistant or Human Resource Assistant 1 or equivalent involving supervisory or office management responsibility.
Additional qualifying experience will substitute, year for year, for education.
